Good afternoon Tim,

 

My name is Nicole and I’m a LGOIMA Business Partner at Auckland Transport.

On 26 June we received your request for information about all documents,
communication and meeting notes/minutes relating to changes made to the
Glen Eden Town Centre upgrade project since public consultation closed in
2018.

We have now completed a search of our emails. The search has resulted
in 830,000 emails which we will need to review to complete your request.
We estimate that it will take us between 6 - 10 minutes per email to go
through these emails and work out what is related to your request.

Your request as it is currently framed, will be very difficult to meet
without substantial collation. Unless your request is amended, we may have
to refuse it under section 17(f) of the LGOIMA, which applies where the
information cannot be made available without substantial collation or
research.
 

Were there perhaps specific documents you were after, for example Meeting
minutes (if so, what type of minutes ie design, construction, weekly
updates etc), information related to the design or construction, road
safety audits, Local Board presentations etc. There are many documents for
one minor project so it might be helpful to know what it is that we can
provide you with.

Please let us know before 23 July 2021 whether you are prepared to amend
your request and, if so, how.

Thank you for your email below.

With regards to "2. All communications, assessments and recommendations
associated with provision of kerbside parking between 166 and 184 West
Coast Road" unfortunately this will still result in a substantial amount
of information as communication is a broad term. Perhaps we could refine
this to documents, such as Local Board presentations/updates, Minutes etc?
If you don't want to refine your request, AT provides five hours of work
for free after which we charge $47.50 per half hour.

The Local Government Official Information and Meetings Act 1987 (LGOIMA)
requires that we let you know our decision on your request no later than
20 working days after the day we received your request. Unfortunately, it
won’t be possible to meet that time limit and we are therefore letting you
know of an extension of the time to make our decision, to 13 August 2021.
This extension is necessary because your request is for a large quantity
of information and consultations necessary to make a decision on your
request are such that a proper response cannot reasonably be made within
the original time limit.

 

Perhaps it might be helpful to discuss the above. If so, feel free to

The request relates to information which AT posted on your public website within the last 3 months (I note this has now been removed from your website, along with recent drawings of the project area), which suggested that AT was "being forced" to re-provide parking in front of 170/178 WCR (from memory, as the website has been changed), and that this would result in a footpath which was undersized - as part of an upgrade project whose main purpose is to improve pedestrian safety.

To limit your time investigating / compiling - it is any emails or letters relating to this suggested re-provision of parking and creation of a sub-standard footpath which this particular aspect of my Information Request relates to.

We have attempted to refine the email search by narrowing our key words to
capture the more specific emails you have requested, however this still
resulted in 222,810 emails.

Due to the substantial amount of work that would be required to collate
all emails/letters, anything more than 5 hours will be refused under
section 17(f) of the Local Government Official Information and Meetings
Act 1987 (LGOIMA), as the information requested cannot be made available
without substantial collation or research. We will provide what is readily
available.

 

We are in the process preparing the information for release. We estimate
the information will be ready by 25 August 2021.

1. All assessments, reports and approvals associated with:
1.1 Changes to the westbound queuing lane on West Coast Road for the right-turn into Glenview Road, including extension eastwards over the proposed pedestrian crossing outside of the railway station and omission of the median island preventing eastbound right-turns into Captain Scott Road.
1.2 The decision to exclude any cycling facilities from the project scope in response to public submissions.
