Payroll error statistics

Maria-Jane Brodie made this Official Information request to Capital and Coast District Health Board

The request was successful.

From: Maria-Jane Brodie

Dear Capital and Coast District Health Board,

Under the Official Information Act, I am writing to request a breakdown of payroll error rates and statistics for the 2012 calendar year (01/01/12-31/12/12), broken down by pay period. Specifically:
-The number of underpayments and overpayments made each pay period, broken down into gross dollar value bands in increments of $500 (e.g. overpayments $0-$499, overpayments $500-$999, underpayments $0-$499, etc).
-The number of staff employed by the CCDHB during each of these pay periods.
-If available, a breakdown of numbers of underpayments and overpayments by reason: error by the employee or team leader, processing error by the payroll team, system error.
-Number of staff members who have had errors over multiple pays. E.g.: number of staff with a total of 0 pay periods with an error, number of staff with a total of 1 pay periods with an error, number of staff with a total of 2 pay periods with an error, etc.

I would prefer to receive this information in electronic format - ideally, an excel spreadsheet.

Yours faithfully,

Maria-Jane Brodie

Subject: OIA Revised Request

Dear Ms Pryor

Official Information Act Request

I write in reference to your OIA that was sent to DHB Shared Services
regarding loan equipment. This has been passed on to Capital & Coast for a
response. At the time we received this we advised DHB Shared Services that
due to the level of information required and the substantial amount of
time that would be required to collate this information that we intended
to charge for the time to respond to this OIA. They have asked that we
liaise directly with you regarding this request.

As per the guidelines in your letter, staff time for responding to OIAs is
charged at $76 per hour including GST. The time estimate for the
collection and collation of the response from Capital & Coast DHB is 55
hours, of which the first hour is free as per the guidelines. Therefore
the response to this OIA will cost $4101 (inc GST).

Please advise if you would like CCDHB to provide you with a response to
your request on this basis. Please also note that some of the cost related
questions we will be unable to provide a response to for commercial
reasons.

Yours sincerely

Dr Kelvin Watson
