Dear Wellington City Council,

Can you please advise:

1. Who your preferred suppliers are for the supply of outdoor video screen rentals (for example the screens used at the America's Cup parade in Wellington) and their town/city of domicile?

2. How procurement of those services for the America's Cup parade was undertaken by council staff in compliance with Council's own procurement policy, with respect to the purchase of services under both the $25,000 and $100,000 thresholds?

3. Has council asked any outdoor video rental screen suppliers in the Wellington region to become a preferred supplier and if so who were those suppliers? If any Wellington suppliers were asked and were not appointed preferred supplier what was the reason?

4. What account does council take of the carbon footprint of outdoor video screen supplier for their events?

Dear Mr Body,

 

Thank you for your request received by the Council on 18 July 2017 in
which you requested information relating to outdoor video screens. As you
asked a number of questions I will address these in the order of your
request.

 

1.  Who your preferred suppliers are for the supply of outdoor video
screen rentals (for example the screens used at the America's Cup parade
in Wellington) and their town/city of domicile?

 

The Council does not maintain a list of preferred supplies in respect of
outdoor video screens, however, the Council has used the services of
registered supplies in respect of previous events.

 

With regard to the Americas Cup parade in Wellington, the Council had only
for days to organise this event and given the tight timeframe the Council
secured the services of an event planner and organiser.

 

2.  How procurement of those services for the America's Cup parade was
undertaken by council staff in compliance with Council's own procurement
policy, with respect to the purchase of services under both the $25,000
and $100,000 thresholds?

 

The Council secured the services of an event planner to deliver the event
in the four day window available as that service is not one currently
delivered by staff.

 

3.  Has council asked any outdoor video rental screen suppliers in the
Wellington region to become a preferred supplier and if so who were those
suppliers?  If any Wellington suppliers were asked and were not appointed
preferred supplier what was the reason?

 

It is my understanding that the Council has never established a preferred
supplier list for the supply of outdoor video screens. The Council
maintains preferred supplier lists for construction and consultancy, and
also uses a number of ‘All of Government’ (AoG) panels (for example;
office supplies, travel management, recruitment, etc.), though this does
not relate to AV equipment.

 

4.  What account does council take of the carbon footprint of outdoor
video screen supplier for their events?

 

The Council does not hold this information.
