Dear Chuck,

Thank you for your request made under the Local Government Official Information and Meetings Act 1987 (the Act), and received by the Council on 10 January 2022.

In your email you requested information relating to the Convention Centre bookings.

The Act requires that we advise you of our decision on your request no later than 20 working days after the day we received your request. Unfortunately, it will not be possible to meet that time limit and we are therefore writing to notify you of an extension of the time to make our decision to 15 February 2022.

This extension is necessary because consultations necessary to make a decision on your request are such that a proper response cannot reasonably be made within the original time limit.

Dear Chuck,

 

Further to my email dated 16 February 2022 I am now able to respond to
your request for information relating to Tâkina, the Wellington Convention
and Exhibition Centre.

 

Please accept my apologies for the considerable delay in the progressing
of your request. Your patience is greatly appreciated.

 

I can advise that at this point in time, the agreements in place with each
of these hirers, is written confirmation from them to hold dates and their
intention to sign a contract once a Tâkina Events contract is available to
sign.

 

However; the events that are provisionally booked are not owned by either
Wellington City Council or Tâkina Events/Te Papa.

 

It is for the owners to announce the date of their conferences. In the
normal course of events, the organisations and associations which are the
owners choose to announce their next destination/venue at the previous
year’s event, and as such, very few of those booked for Tâkina have been
publicised at the moment. In addition,  It is also a year out from the
event that deposit clauses in contracts normally start to be due with
phasing through the year until the event occurs.

 

However; those events that have been raised publicly are referred to in

The investment the city has made in Tâkina as a Convention and Exhibition
Centre is founded on a number of outcomes for the city. In regard to the
economic impact of events, we are able to quantify the value of conference
delegate spend by using values provided by MBIE and Tourism NZ. The total
value for the bookings we have we can estimate using these data points and
at this point equates to around $53m of delegate spend; however, this
doesn't include the actual spend by the organisation that owns the
conference on its delivery. We estimate the number of delegates by working
through the detailed requirements of each conference owner and their
delegate numbers at previous events.

 

In regard to financial support from the city to attract and confirm events
there are a range programmes in place and, similar to other cities in New
Zealand, these are very specific to the opportunity provided by any
particular event. Where support is provided it considers the economic
impact of an event, the opportunity provided by the event to support
sectors that are important to the Wellington economy, the opportunity that
the event provides for Wellington people to participate in the event, and
potentially, programmes that an event might have to provide some sort of
legacy impact for Wellington.

 

The details of each arrangement is confidential and the nature and level
of support provided is commensurate with the opportunity. However; the
support may include discount structures, access to iconic spaces for
banquets, or additional bespoke services. I would note also that support
provided is always for supporting the local organising
association/organisation to host the event they have bid for and won for
Wellington.
