I refer to your information request dated 25 March 2024 made under the Official Information Act 1982 (the Act). You have requested all minutes and agenda from University of Otago Senate meetings held in 2023.
The Act requires that we advise you of our decision on your request no later than 20 working days after the date your request was received. Unfortunately, it will not be possible to meet that time limit. We are therefore notifying you, pursuant to section 15A of the Act, of an extension of the time to make our decision in respect of your request - to 10 May 2024.
This extension is necessary both (i) because your request necessitates a search through a large quantity of information and meeting the original time limit would unreasonably interfere with our operations and (ii) to allow for consultations necessary to make a decision on your request. We thank you for your patience. We will endeavour to respond sooner if possible.
If you are not satisfied with our extension of time, you have the right to make a complaint to the Ombudsman under section 28(3) of the Act. However, we would welcome the opportunity to discuss any concerns with you first.

As the minutes for each Senate meeting are contained in the agenda of the following Senate meeting, we have provided you with copies of the agendas only. For example, the March Senate meeting minutes would be contained in the April Senate meeting agenda. The only exception to this is the November 2023 meeting, where we have provided the minutes separately.
As noted to you previously, material has been redacted or withheld under the following sections of the Official Information Act 1982:
- 9(2)(a) - to protect the privacy of natural persons.
- 9(2)(g)(i) - to maintain the effective conduct of public affairs through the free and frank expression of opinions by or between University staff.
- 9(2)(h) - to maintain legal professional privilege.
- 9(2)(i) - to enable the University to carry out, without prejudice or disadvantage, commercial activities.
Please also note that due to the number and size of the files, documents for February - July 2023 are included in this email. A second email with the documents for August - November 2023 will follow.
