Dear Ministry of Education,
Kia ora I am requesting the Ministry of educations property records in relation to Cambridge middle school, the request includes but is not limited to
Records relating to ownership of the school site held by the ministry this includes property documents, entry’s on databases showing who owns the land and any other relevant information relating to ownership.
If the land is not owned by the ministry I would like to request all agreements, leases and information relating to the occupation of land not owned by the ministry and the authority to occupy the land
For context there appears to be a property that is stopped road according to councils GIS when asked council were unable to provide any information about the parcel.
I would also like to know who in the ministry is responsible for investigating these matters and ensuring the information presented is correct

(the Ministry) requesting the following information relating to Cambridge
Middle School in respect of property records:

Your request has been considered under the Official Information Act 1982
(the Act).
We have been in contact with the relevant Business Units within the
Ministry and been advised that the land that Cambridge Middle School
occupies is Ministry administered Crown land, with the exception of the
stopped road parcel you have identified. The Ministry does not presently
hold a lease, licence or encroachment agreement for that land. If the
landowner would like to formalise the existing occupancy arrangement, they
can contact us at [1][email address].
We note that, as currently worded, your request is very broad in nature
and scope as it could encompass all property records relating to the
school. This may require substantial research and collation to provide.
In the hope that we may be able to avoid refusing your request on that
basis, we would like to ask if you could refine it.
We suggest the following clarification of your request.
o Land ownership records relating to the school, and
o Where the Ministry is not the recorded administering agency for the
land, any occupancy agreements between the Ministry and the landowner.
We look forward to hearing from you. Once we have your clarification, we
will commence work on your request.
Please note that in line with Section 15 (1AA) of the Act, if a request is
amended or clarified after the date on which it is received, the Ministry
may treat the amended or clarified request as a new request that replaces
the original request.

Dear Enquiries National,
Thank you for your request to clarify my request for information
I would like to request the ministry’s records in relation to land ownership for the school site, to confirm what information the ministry has on file in relation to who owns the land the school is built on.
Any occupancy or lease documents that show the ministry has a right to occupy the land (especially if they don’t own it)
there appears to be a building over the stopped road parcel and would like to know when the building was built?
I would like to know what if any correspondence was had with council I.e building consents, or agreements for any encroachments of the building that appears to straddle the stopped road parcel
I would like to know if the ministry maintains their land records, for example if an employee updates the information in any databases for example asset registers, valuations and land record databases or other such programmes like excel etc
I would also like a copy of those records in so far as they relate to Cambridge middle school if possible and a copy of the process/policy guidance for updating the information if possible
If no one maintains the ownership of the land record can MOE explain why this is ?
If MOE is not aware of the fact they are occupying a parcel they don’t own can they explain why ?
