Dear Wellington City Council,

Under the Official Information Act I would like to request all information relating to the donation or lending of materials to the Wellington City Libraries or, or, or policies regarding the acceptance of such materials.

This can include the names of texts or materials, whether or not these were accepted as donations, and lists of donors or attempted donors.

I would prefer to receive an electronic response.

For the purposes of Section 12(1) of the Act, I am currently residing in Aotearoa - New Zealand.

Hello Laura,

Thank you for this information request, and for the one submitted directly to the library on the same subject.

I have spoken with the Library management, and in particular the acquisitions team about your request.

The Library does not keep a register of persons or organisations that offer or donate materials to the library.

All offers are required to meet the terms of the Libraries' collection policy - please see the following extract concerning donations:

Donations
• Offers of donations need to meet the Collection criteria and cannot be accepted without prior arrangement with the Collection Development Team
• Second-hand material will not be accepted, except for items of historic significance and titles in foreign languages
• Donations, once added to the collection, are managed like all other material and are subject to the same conditions of loan, use and retention
• Donations that do not meet the collection criteria will be disposed of at the library’s discretion and will not be returned to the donor

Collection criteria include currency and likely appear to our users.
Donations still have a cost - the staff time they require to process them and the shelf space they occupy - so we may well not accept them. As Jane says, keeping a list of successful and unsuccessful donors would be an enormous task and hasn't been done for many years.

As detailed in the extract above, the key aspect is that once added to the collection, the materials are subject to the same conditions as any other material in the collection.
