ACC EOS Staff Reporting Guidelines for contact between ACC staff and external providers regarding ACC claimants personal information.

Dear Accident Compensation Corporation,

1. It would be appreciated if you would provide me with a copy of the ACC EOS Staff Reporting Guidelines that set out the current ACC staff policy for how contact between ACC staff and external providers in which personal information in regard to an ACC claimant is discussed, and or exchanged should be recorded to meet ACC's EOS reporting guidelines.

2. It would also be appreciated if you could provide confirmation to me of how the correct ACC EOS Staff Reporting guidelines would apply to the ACC Staff Member's reference to "receive your message" in the following scenario when they have communicated with an ACC service provider;

"Thanks for letting me know (ACC Service provider). I also received your message regarding the IMA and I think it best to keep the appointment as set so we can have all the necessary reports available for Dr X to view. Thanks ACC Staff Member."

Specifically can you confirm whether under the ACC EOS Staff Reporting guidelines the ACC Staff member in the above scenario has an obligation to have had recorded on the ACC EOS System the "message" from the service provider that they refer to separately in the above example, since the content of the service providers message remains unknown.

It would also be appreciated if you could also confirm whether there has been any change to the ACC EOS Staff Reporting Guidelines within the past 24 months and if so could you please indicate the specific changes as such.

In terms of your reply it would be appreciated if you could confirm that all activities, transactions in terms of records management includes ACC staff contact relating to ;

phone calls, land lines and mobile phone communication
voice messages left on ACC staff members mobile and or landlines
text messages
faxes
email communication
face to face conversations… etc

are required to be treated equally in terms of the way that staff record information on the EOS system or other ACC party level system/relevant system.

Dear Government Services,

Thank you for the attachments to your response to my questions to date.

I note that the Guidelines for managing and monitoring rehabilitation that you have sourced from http:/?thesauce/team-spaces/chips/treatment-rehabilitation/vocational-rehabilitation/ref…. was due for review as at 9 September 2015 and it would be appreciated if you could provide me with a copy of the latest 2015 reviewed information thanks as opposed to the 2014 edition.

I also respectfully request that I be provided with a full PDF copy of all client communication policy by return email (not just limited to email-when to save) that is stored on ACC's intranet The Sauce, so that ACC policy guidelines covering what information is required to be recorded by ACC staff on Eos and or a claimant's Party Records, inclusive of all sources of that communication (for example, face to face contact, land line and mobile phone voice and text calls and messages, intrantet, health link information, faxes, handwritten letters, and information handed over to an ACC branch etc to name a few circumstances.
