This Official Information Act request relates to the University’s process for responding to requests under the Act.
Please provide information as to:
- the University’s policies for responding to requests;
- the steps which the University takes in response to received requests, including decisions to acknowledge these requests;
- whether certain requests are handled differently based on subject matter or other criteria;
- the average time taken to respond to requests; and
- any advice or communications the University has received regarding its compliance or non-compliance with the Act.

Dear requester,
I refer to your request of 28 March 2025. The University's response
follows.
"Please provide information as to:
- the University’s policies for responding to requests;
- the steps which the University takes in response to received requests,
including decisions to acknowledge these requests;
- whether certain requests are handled differently based on subject matter
or other criteria;
The University’s policy is to comply with all New Zealand law. We do not
have a specific policy on responding to OIA requests. University staff
receive, file, and action OIA requests as appropriate and draft, review,
approve and send OIA responses as appropriate. We do not have a standard
practice of replying to requesters with an acknowledgement of receipt. The
steps which need to be followed for a specific OIA request depend on the
request – for example, unclear requests may be clarified with the
requester, requests for information which cannot be provided without
substantial collation or research may require consultation with the
requester. The subject-matter of the request will determine which staff we
need to liaise with to action requests (i.e. requests for admissions
information go to the Admissions team) and to review and approve responses
(OIA responses are reviewed and approved by a responsible manager for the
relevant subject area).

The information requested is not held by the University. This part of your
request is refused under section 18(g) of the OIA.

compliance or non-compliance with the Act."
OIA requests are required to specify the official information requested
with due particularity under s 12(2) of the OIA. If you wish to request
official information held by the University that is “any advice or
communications the University has received regarding its compliance or
non-compliance with the Act”, you will need to specify the relevant time
period. Further, please note that:
1. Under s 2(1)(i) of the OIA, the University’s correspondence with an
Ombudsman is not official information.
2. If you wish to request this kind of information from communications
the University has received from persons who have made OIA requests,
we may not be able to provide these without substantial collation or
research, and much of the University’s correspondence with OIA
requesters is already publicly available on fyi.org.nz.
You have the right to make a complaint to an Ombudsman if you are
dissatisfied with the University’s response.
