Dear John Smith

I write in regard to your Official Information Act (OIA) request
transferred to the Department on Internal Affairs on 30 April 2021.

We have undertaken an initial scoping of the information likely to be in
scope of your request as it is currently worded and found the amount of
collation required is substantial. 

The process of electrifying the Crown fleet has been underway for some
time and as currently framed, your request would require over several
years of communications and documents to be searched. Key words such as
“procurement” or “Electric Vehicle” are used frequently in all manner of
Departmental correspondence and documents and would therefore result in a
very substantial volume of information to search through. 

Can you please advise whether you are seeking:

1)  any specific documents or a particular date range you are seeking this
information for 

2) this information specifically in reference to the chauffeur-driven
Crown fleet? 

Alternatively, the Department would be able to provide a summary document
outlining the procurement process for electric vehicles if you wish to
receive this. 

 Unless your request is refined, we are likely to refuse it under section
18(f) of the OIA, which applies where the information cannot be made
available without substantial collation or research. 

Please let us know by 17 May 2021 whether you would like to refine or
clarify your request and, if so, how. A request for a shorter time period
or for specific documents would assist to narrow down the search.

The final date of notifying you of the Department’s decision on your
request as it currently stands is 28 May 2021.

Please note, if you do refine or clarify your request, this will be
considered to be a new request for the purpose of calculating the maximum
statutory timeframe for response—as set out in section 15(1AA) of the OIA.
