Dear Mr Preston,

 

On 10 April you sent an email with the subject ‘Official Information
request – Indexing & Classification documents which refer to sensitive
documents’. The body of your email requested:

 

               […] any indexing or classification documents, whether
inside the document management system or outside, which refer to documents
that may not be classified according to their contents on any grounds.

 

The Ministry of Business, Innovation & Employment requires clarification
of your request under the Official Information Act 1982 before it can
respond.

 

It is unclear what you mean by ‘indexing and classification documents’.
For example, does this refer to information which sets out how staff
undertake indexing or classification of documents? Or does it refer to
documents which contain a record of indexing or classification?

 

It is also unclear what you mean by ‘classification’. For example, the
reference to ‘sensitive documents’ in the subject suggests you are seeking
information on classification in terms of how MBIE assigns a security
rating based on the contents of the document. However, this is not
reflected in the content of your email where you state ‘which refer to
documents that may not be classified according to their contents on any
grounds’, which suggests you may be referring to any way to classify the
document, such as by file type or document type (eg briefing, report,
email etc).

 

It would assist MBIE to respond to your request if you could set out
clearly and precisely what information you are requesting. Provision of
context or examples may also help MBIE better understand your request.

Dear CLM Ministerial Services,

Thanks, I am looking for documents which index other documents that are either held inside or outside your electronic document management system.

In terms of classification documents, I am looking for documents which refer to the way in which documents are assigned keywords for searching. This would include any ministerial briefings, minutes or meetings recorded.
