Dear Waikato District Health Board,

I would be most grateful for all internal memoranda and internal emails from December 2012 to March 2017 pertaining to the topic of "Private Cancer Services". This can be limited to memoranda and emails between Oncology Consultants, and mid to upper level administrators, including former Waikato media-relations personnel.

Yours faithfully,

Waikato District Health Board

Dear Dr Goodwin,

Thank you for your time yesterday.  I thought it would be useful to send a
brief summary of our discussion and agreement on the next steps for us to
complete the OIA that you have submitted to the DHB.

I understand that the intent behind the OIA request is that you are
specifically interested in trying to contextualise people’s attitude to
your service.  You stated that you had formerly worked at the DHB,
including having been to most of the clinician’s homes, so want to
understand the context of people’s attitude to the service you provide.
The timescale that you have asked us to provide internal memoranda and
internal emails for covers the period that you have been providing a
private oncology service at Braemar Hospital.

I explained that the way the request was currently phrased was potentially
very broad and would involve substantially more than 4 hours work and
would consequently result in you being charged for anything beyond those 4
hours.  You asked if this was normal, as you were not aware of the
potential for being charged, to which I explained that it was, as part of
the Official Information Act .  You stated that it was the first time you
had heard of charges being applied so wouldn’t be expecting a large bill.
We left that point open, but in order to try and reduce the number of
hours of work involved and consequential cost, we agreed it would be
useful for us to clarify a bit more precisely the information you were
seeking.

In summary I believe we determined that you are specifically looking for
information relating to private oncology services and Braemar hospital.
It would therefore seem that the best approach would be for us to search
and provide any emails/ memos that mention yourself and/ or private
oncology services provided at Braemar Hospital.  You accepted that it
would not be appropriate for us to share individual patient details, but
you were more interested in seeking to understand the context of
communications between Waikato DHB employees relating to the services you
provide.

Please let me know if this is an accurate record of our conversation.  We
are keen to provide the information by 26^th May, as set out in Brett
Paradine’s letter of 11^th May.  I would therefore be grateful if you
could confirm by Monday 22^nd May, as we will be proceeding to collate the
IOA response over the next few days.

With all best wishes,

Alex
