Please provide a breakdown of costs of how much money the Ministry spent on holding offsite meetings from 1 October 2023 to 8 March 2024, including staff away days, senior leadership away days etc. This includes costs of hiring the venue, any catering expenses etc.

Thank you for your request for official information on 8 March 2024 for:

Please provide a breakdown of costs of Ministry spending on catering from
1 October 2023 to 8 March 2024. This includes catered morning teas,
leaving parties, staff parties, meeting lunches etc.

 

We are contacting you in accordance with section 18B of the Official
Information Act 1982 (the Act) because your request, as it is currently
worded, would require us to undertake a substantial amount of research and
collation given the way in which our financial systems hold transactional
costs.

 

To provide the information as you have requested, we would need to
manually identify all external meetings in scope with the business, if
any, that were held during the period and then map any expenditure against
those meetings, classifying the activities as requested.

 

As a result, we may refuse your request under section 18(f) of the Act as
the information requested cannot be made available without substantial
collation or research.

 

However, we can provide the total cost of Venue hire and Catering
expenditure between 1 October 2023 and 29 February 2024 ( our end of month
transactions up to that date) as we have cost codes for those two
transaction types. However, those two activities would not be broken down
in a way where it is linked to a specific ‘offsite’ meeting. Therefore, we
suggest you refine your request to this information.

 

Please respond by 21 March so we can consider your refinement our response
to your request.
