Your request, as currently worded, is very broad in nature and scope and
lacks due particularity. As it stands, your request would include a
keyword search through the email accounts of all current and former
Ministry staff members, to determine if they had ever emailed the listed
individuals.

 

This would cover a large quantity of information which would require a
substantial amount of time to collate. As such, it is likely that your
request, as it currently stands, would be refused under section 18(f) of
the Act as the information requested cannot be made available without
substantial collation or research.

 

In the hope that we may be able to avoid refusing your request, we would
be grateful if you could provide further detail around the nature of the
information you are looking for, so that we might be able to identify
Ministry staff who are most likely to hold correspondence with Otago
Public Health staff.

I don't think that holds quite true as i gave:
- What i was looking for (emails and meetings only)
- Clear names to search on (list of defined names that are only from public health Otago)
- A defined time period to search on

And i'm concerned that providing more details will mean i could miss information due to your request to only look for communications with a subset of staff members.

Would providing key words support reducing the scope as well?

We have conducted an IT search across all Ministry of Education email
accounts, including those of former staff, for the names you have listed
above. We have identified no correspondence between Ministry officials and
any of the listed individuals during the period requested. Therefore, we
