INFORMATION REQUEST
On 28 May 2025 you asked for information about email permissions and policies. Here is our
response to your questions:
1. All delegated permissions applied to elected members mailboxes.
All Elected Members receive a Tauranga City Council email address once elected.
They can individually delegate permissions if they choose to. There are no standard
delegated permissions applied without the Elected Member approving them.
Any Outlook or Exchange policies, transport rules etc which block, redirect or
forward mail sent to any elected member mailbox from an external source.
Tauranga City Council has an Unreasonable Conduct from Customers Policy. If
informal strategies like conflict de-escalation and setting clear expectations fail, formal
restrictions such as limiting how and when a customer can contact the council may be
implemented to protect staff and Elected Members. A copy of this policy can be found

However if this policy is applied Elected Members are able to determine themselves
if they wish to continue to receive communications from customers that have any
restricted access provisions applied to their communications with Council.
This request and the response have been considered under the LGOIMA1.
