Official Information Act request: Ministerial Advisory Group (MAG) for retail crime
Thank you for your email of 7 February 2025 to the Ministry of Justice (the Ministry),
requesting further information following receipt of OIA 117640, which was in response to OIA
116412. You have requested additional information on the same subject, under the Of icial
Information Act 1982 (the Act). Specifically, you requested:
I’d like to inquire why there are no minutes available for these meetings. I’ve noticed
that most of the meetings are held via Zoom—are these sessions recorded? If so,
could you please share the recordings with me?
Additionally, are there any reading materials provided ahead of the meetings? If so, I
would appreciate it if you could supply me with all the materials that were sent to the
members prior to their meetings.
Lastly, I’m particularly interested in the meeting on 7 Nov 2024, specifically the item
regarding "official information handling and storage." Could you provide more details
about what was discussed or presented regarding this item?
In response to the first part of your request, I can confirm that MAG meetings are not
electronically recorded. Work programme updates and topics of discussion are often
discussed in confidence and recording of these meetings could inhibit the exchange of free
and frank opinions. The ability to exchange opinions is necessary for the robust and effective
conduct of the MAG’s development of advice. Your request for recordings is therefore
refused under section 18(e) of the Act, as the information does not exist.
The second part of your request asks for copies of any materials provided to MAG members
ahead of the meetings advised in OIA 117640. Aside from meeting agendas that are
distributed ahead of the meetings, no reading material is needed unless, for example, there
was to be a proposal for a new initiative. There is no additional material we can provide you,
that was not already provided in OIA 117640.
Regarding the meeting on 7 November 2024 and the agenda item ‘
Guidelines on Official
Information handling and storage’, I can advise that a Ministry of Justice official provided the
MAG members with an overview of their obligations under the Of icial Information Act,
including points relating to retention and provision of information, and the supporting role the
Ministry wil play in helping the MAG members meet these obligations. No materials or
presentations were used for this agenda item, therefore your request for this information is
refused under section 18(e) of the Act, as the information does not exist.
