Official Information Act 1982 request – Cost of External Meetings 
Dear T Murray 
 
This letter responds to your Official Information Act 1982 (OIA) request received by Sport New 
Zealand (Sport NZ) on 17 February 2024 requesting the below information: 
Can you please provide the dates and the cost of any staff meetings held at external 
venues for Sports NZ and High Performance Sports NZ from 1 January 2023. For 
clarification - costs should include the venue and equipment hire, and catering costs for 
each meeting. 
 
Sport NZ and High Performance Sport NZ do not hold information regarding all external meetings 
in a readily retrievable format. To provide a full response all business units would have to go back 
through all records and confirm all external meetings and assess all costings attached to that 
meeting which would require substantial collation and research. Therefore, your request is partially 
refused under section 18(f) of the OIA.  
 
However, we do hold readily retrievable information for all external staff meetings and Board 
meetings. The following table sets out the expenditure for all staff and board meetings costings 
from 1 January 2023 to 17 February 2024. The total cost includes; catering, venue hire, equipment 
and other.
