Thank you for your email and the proposal. I appreciate your enthusiasm for the project and the
valuable expertise you bring to this kaupapa.

Given the project’s constrained budget, where professional fees are drawn from the same funding
required to ensure site safety, we need to explore adjustments to make the proposal more
manageable within our resources.

I’d like to suggest a couple of changes to the proposal for consideration:

An hourly rate rather than a ﬁxed monthly fee, particularly during the December-January
period when the project will naturally slow down, could provide greater ﬂexibility and align
costs with the project’s pace.
setting a cap of $30,000 for the decision milestone (for both strategy and support). We can
ultimately manage deliverables to ensure outputs align with this cap.
Remove disbursements unless speciﬁcally approved. Ideally, we’ll be working towards
drawing from as many internal resources as possible to deliver this thing.

Please let me know what you think about these adjustments. If you’re happy, I’ll send this up the
chain for approval.

Thank you for meeting with us on Monday. As discussed, we are interested in procuring Agite’s
services to work with us to develop and implement a strategic communications plan for the Mātai
Moana project. This project represents a signiﬁcant opportunity to create a public reserve through
a joint management approach between Wellington City Council and Taranaki Whānui ki te Upoko o
Te Ika.

I’ve attached a high-level brief, which I’ve kept as a draft at this stage. Several things still need to be
worked through, such as the messaging and timing of the milestones that we can work through
together, but hopefully, the draft is enough to get things going. Also attached is the draft
contextual information on the proposal, which you may have seen already.

If you can provide a proposal and price to both s7(2)(a)and me, that would be great. The contract will
be with the Council, but reporting will be to PN
