Hi Section 9(2)(a)
For better administration, S 9(2)(a) has approved for you to subscribe directly with Otter.ai for up to the
US$20 per year per user Business plan.  Her preference is for you to subscribe to the annual plan
because a monthly plan will cost US$30, instead of US$20 per user. Please use your SPS credit card so
you can manage all additions to the plan. S 9(2)(a) has allowed up to a maximum of 5 users for your
Released
Information Act 1982
office.  Anything beyond that will need prior approval from her.  Please be mindful that any user you
have added has capability to add another user, and this can balloon up to 25 so we leave it up to you to
advise the users to course any addition through you only.
Thanks for your patience.  This is quite new to us so has taken us a bit of time to understand the
process.

Hi S 9(2)(a)
There have been questions from the offices around this and I attach the information I have sent to both
Section 9(2)(a)  and S 9(2)(a)
The SPS will manage these via their P-cards as any additional user will be charged US$20 or $30 per
month (or paid in advance for the full year).  They also need to manage cancellations and refunds by
themselves, including any auto-renewal (which we do not suggest).  This is quite difficult to manage
centrally so S 9(2)(a) has agreed to have it internally managed within each office up to 5 users only.  Any
excess user will need S 9(2)(a) pre-approval.
I have copied the other Portfolio Managers in case they get a similar question from their SPSs.

Let me know if you have any further questions.

Hi S 9(2)(a) ,

For your approval.  US$20 per month for the ai app (media broadcast transcription), allows up to 5 users.  Minister Bishop’s

request is for 4 user access already, so this is the one that fits them.   We might just need to expect that all Ministers will
request this in the future. Potentially, S 9(2)(b)(ii) and the Office of the Clerk’s service will be used less often, if the CoS has queried
this S 9(2)(a)as per S 9(2)(a)below.

Subject: Otter.ai subscription
Hi S 9(2)(a)
As discussed just now, could we please get a Pro subscription to Otter.ai. This service is used by PMO and makes transcribing
media interviews and standups much more efficient.
Pricing (otter.ai)
The cost is USD$10 per month, per user – we’d ideally need access for S 9(2)(a) and I at a minimum, and ideally for S 9(2)(a)  and
S 9(2)(a) as well.
Many thanks,
S 9(2)(a)
