We refer to your Official Information Act request of 22 March 2023. 
You request: 
 
Does the Office of the Privacy Commissioner have any relationship with a person 
named Dawn Swan? 
 
The background for this request is that we have received a PDF document from your 
office, dated to the 17th of March, 2023, which lists "Dawn Swan" as the author in its 
metadata. However, in a response to our earlier request regarding this name, you have 
confirmed that this person is not employed by your office. 
 
As advised previously, we do not currently employ a person named Dawn Swan.  The 
relationship that the Of ice of the Privacy Commissioner has with Dawn Swan is that she has 
worked for the Office of the Privacy Commissioner in the past. 
 
The reason for Dawn Swan showing in the metadata to which you refer is that she is the 
original creator of the document template used to create the letter. The original creator is 
retained in the metadata whenever that document template is used. 
 
We hope this clears up any confusion.
