REQUEST FOR OFFICIAL INFORMATION - EXTENSION OF TIME REQUIRED TO REACH A DECISION
We refer to your official information request dated 4 April 2022 for:
• Could I please have a copy of the agreement by which the privately owned hut located on
Pigeon Island is there by virtue of as well as copies of any correspondence between the
owner(s), their successors, agents, lawyers, and any other related party, and any member of
QLDC staff, elected members, or agents of QLDC.
• Could you also please advise what, if any, money has been paid to QLDC for this hut.
On 4 May 2022, we sent you a response for your original request above. On the same day you sent us
an email with the following questions:

Are you saying there has been no correspondence with any party related to the private
occupiers of the hut since 1997?
•
Are you able to advise how many non-related members of the public have been able to book
this hut since 1997?
•
Are you able to advise why it has taken over 12 months for the hut to revert to Council
management?
•
Are you further advising that there has been private occupation of public land for over 25 years
with no monies being paid to the Council?
We acknowledged your email and informed you that our retrievable on-line records go back to 2014.
Prior to that we will have to check the archives for which a manual search of all the correspondence
needs to be performed by our Records team and this would involve considerable cost depending on
their time.
On 5 May 2022, you have sent us another email referring to an email from 2007 that was shared with
you in our last response regarding the management system and meeting with the parties of the Pigeon
Island hut. In addition, you have requested a copy of all internal communication, including notes,
relating to the hut as stated in this shared email.
The Local Government Official Information and Meetings Act 1987 requires that we advise you of our
decision on your request no later than 20 working days after the day we received your request. We
apologise for the late response but unfortunately, we are unable to meet that time limit and we are
therefore writing to notify you of an extension of the time to make our decision to 30 May 2022.
This extension is necessary for the following reasons:
• your request is for a large quantity of information and meeting the original time limit would
unreasonably interfere with our operations,
• your request necessitates a search through a large quantity of information and meeting the
original time limit would unreasonably interfere with our operations, and
• consultations necessary to decide on your request are such that a proper response cannot
be reasonably made within the original time limit.
