Dear Ministry of Education,

I am writing to request the provision of he following official information;

Official Information Request 1:

(a) Please confirm if the use of the use of eTAP school management software and the eTAP school parent portal which can be found advertised at the following web address/link https://www.etap.co.nz/, is compulsory for, and is currently being used in all New Zealand Schools.

(b) If the eTAP system tools noted in Official Information Request 1 (a) above have not been taken up, or are not in use in all New Zealand Schools, please provide to me a accurate, complete and up to date list of New Zealand Schools that currently use eTAP school management software and the eTAP school parent portal.

Official Information Request 2:

For the sake of transparency and ongoing public interest with relation to the Ministry of Education information's sharing of student and student's families personal information held within a school's eTAP system/portal, and other agencies I respectfully seek the Ministry of Education's Privacy policy associated with the students and or students family's ability to be able to request the correction of information that may have been incorrect/inaccurate, incomplete, not up to date and there fore misleading.

Official Information Request 3

Please supply to me a copy of the current complete contract agreement held between the Ministry of Education and the eTAP company that governs the contract for services provided to New Zealand Schools by the eTAP company and the full contract that governs the reciprocal contract, inclusive but not limited to the eTAP school management software and the eTAP school parent portal that New Zealand Schools are using.

Official Information Request 4:

I am after a specific response from the Ministry of Education with respect to this official information, so that the information returned through www.FYI.org.nz, may also be of assistance to any further parents and or caregivers that may seek this information in the future.

I would appreciate the provision of a complete and up to date list of;

(a) what personal pupil and family information held on either a school's eTAP school management software and the eTAP school parent portal, can be shared with organisation's and entities outside of a pupils school and the eTAP company.

(b) for each and every category of personal pupil and family information that is able to be shared outside of a school and or eTAP company, to other parties please confirm what data sharing arrangements and the date such arrangements were approved by the Privacy Commission.

(c) please advise of and include full information in relation to all information that is flagged to be sent to other agencies/organisation's or third parties, and confirm what triggers the flag and to what additional party/ies this information is sent to.

Official Information Request 5:

Please provide back to me through the www.fyi.org.nz website a complete list of agencies/organisation's/other parties aside from a school that uses the eTAP school management software and the eTAP school parent portal, and the eTAP company that manages the eTAP school management software and the eTAP school parent portal, that receive in any way or manner shared personal information regarding a pupil's absence from school on any given day, and includes, but should not be limited to include cases where a pupil has been recorded by the school as having been Truant.

Official Information Request 6:

Please provide me with a complete original eTAP list of exact absence description's that can be keyed into eTAP school management software and the eTAP school parent portal by a school for morning and afternoon recordings of a pupil's absence.

I would appreciate you forwarding the information back through the www.fyi.org.nz website so this information can be publicly accessed in the future should other parents and caregivers seek this information.

Dear Enquiries National,

Thank you for the time to acknowledge my OIA request of 10 June 2019.

Since lodging my above OIA request I have received correspondence which has since satisfied the majority of my current requirements for the information that I requested, and hence I respectfully advise that at this stage I withdraw in full my OIA Request of 10 June 2019.
